Videoconference Rooms Type/Furniture Layout

A table used in videoconference rooms "U" or "V" shaped to ensure that each participant of the meeting has equal access to the camera. This table must not be wider than 12 feet or longer than 24 feet to accommodate the requirements of the microphones and audio-tracking cameras.

The person sitting the farthest away from the camera must not be more that 25 feet from the lens of the camera to ensure visibility and correct functioning of audio-tracking systems. The back of the conference room cannot be more than 40 feet from the lens of the camera. The seating plan must be made so that all participants can get into full view of the camera.

Cost Variable Accessories

Public video conference rooms as well as rooms used for professional purposes have to be laid out in the appropriate way to facilitate a meeting and as sometimes special video conference furniture is necessary such as a “U” shaped table, costs can be quite high.

As rooms have to be designed around technical requirements most cost variations are due to special accessories and room renovation. Accessories that might be needed are:

  • A number of cameras, usually one to three per room.
  • A number of TV monitors or big screens.
  • Sizes of monitors. The bigger the monitor, the higher the cost.
  • The quality of sound speakers required, in a smaller room with not that many people, a cheaper sound system will suffice, cutting costs.
  • The number of microphones used.
  • The need for a VCR (video recorder/player) to record the video conference.
All these items can make video conferencing rooms expensive rooms to decorate and facilitate with technology. Videoconferencing public rooms will possibly use less state-of-the-art type materials as they are often not used in professional business circumstances.
